Direct Planning on the Information Board

Part of: Frequently Asked Questions, Meal and Activities, Taken

  1. In practice: planning on the board
    1. Planning on the board can be used for:

As a supervisor, you can adjust activities in calendars (e.g., meal planning or activity planning) via a laptop or computer. However, in certain cases, it’s convenient if this can also be done directly on the board!

For example: in the morning, supervisors and clients stand together in front of the board and add the activities for that day. Or, as a supervisor, you quickly adjust the meal planning directly on the board due to a sudden change.

Enabling planning on the board can sometimes make things work faster because you don’t need a laptop or tablet. Or you increase the interaction of clients with the daily structure because clients can create their own schedule directly on the board, possibly with the help of supervisors.

To guide you step-by-step in using the information board, we have created a practical instructional video in addition to this manual. Watch the video below for a visual explanation of all steps.

How does it work?

To be able to plan activities directly on the board, 2 things are needed:

  • An activity library where the activities (e.g., tasks or meals) that may be added are prepared. Combinations of image + color + text and optionally a start time.
  • The activity library is linked to the planning component on the information board. This causes a new icon to appear on the block, allowing you to directly schedule new activities on the board for a specific day.

1. Prepare the library

Start by creating a library in which you prepare activities (tasks, meals, etc…).

To do this, navigate from the home screen to “Library” and then select the “Activities” tab.

Then create a new library via the “Add own library” button. Add the activities you want to be able to plan on the board to this new library. For example, standard daily tasks or most common meals. You can start with a basic set and always expand it later as desired.

By using folders with groups of activities within the library, you can keep planning clear on the board.

2. Enable planning on the board

The last step is to link a planning block on the board to a specific library (or folder within a library).

To do this, navigate to the board edit mode and add a new planning block or use an existing block. For example, a “Vertical daily overview”, “Who will do what / assign tasks” or “Week overview”.

Please note: not every block supports direct planning on the board. If in doubt, please contact us, we are happy to help you think it through.

Then, in the block settings (via the pen icon on the block), you can enable the function “Add & remove activities directly on the board”. Finally, choose the source library containing the activities to be planned.

Are you linking a folder within a library? Then you can only plan from that folder and any subfolders on the board. Make use of this by setting up a convenient library structure.

In practice: planning on the board

  • After you have completed the above steps, you will see a new icon appear next to the planning blocks to which a library is linked:

  • After you click on it, the planning screen will appear:

  • Drag activities from the left side of the screen to the right column to plan that activity for that day.

  • Tap on the time of an activity to set it.

Are times linked to the activities in the library? Those times will then be automatically adopted when planning. Useful for clients with less time awareness.
By dragging activities in the right column, you can determine (or adjust) the order. Keep in mind that if a start time is set, this will always determine the order first.
